At Kartra, our goal is for you to stop wasting money and start earning it instead.
And we’ve managed to help thousands of people do just that by cutting down the number of platforms needed.
And today, we’ve added one more platform you can nix from your monthly bill: scheduling tools.
Kartra has just launched a built-in Calendar function to make it easier than ever to schedule clients. It seamlessly integrates with all other assets in the Kartra system — leads, automations, pages, etc.
The best part? It doesn’t cost you a single cent more.
You have four different calendar models — the consultant, the recurrent, the gym, and the live event — to choose from.
The consultant model is geared towards 1:1 expert sessions and coaching sessions. You can set your available hours and clients can then select from those hours you’ve specified.
If you want a more regular schedule, such as a coaching lesson every Tuesday from 11-12 pm, you can set up a recurrent calendar.
The gym model, on the other hand, allows you to set the schedule yourself, with fixed classes at certain specified times, such as Yoga on Thursdays at 8 am. Your users can then subscribe to those classes, so you know who’s attending.
Lastly, the live event model is geared for those who want to run a seminar, a webinar, or a live event, set on one specific date for a large audience.
Once you’ve chosen your model, you can configure Kartra to charge users to get on your schedule, or you can allow them to sign up for free. Kartra can also send automatic confirmations, and email reminders, so no appointment is ever missed.

This is cool but it does not appear that the calendar integrates with existing external calendar of availability is that correct? (like iCal, Google, etc)
So for example, right now I used ScheduleOnce. With that, if someone tries to book something on a time that’s already booked on my calendar, it blocks that out as being not available.
But with this, it’s not integrated. So if I book something on my calendar during a specific day/time, Kartra won’t pick that up and will allow double booking.
Am I correct? And if so can we rectify this?
Hello Brad!
Great question.
Integration with Google Calendar, iCal, and Office365 will be coming as soon as possible!

We’re looking forward to it as well!
Is there an issue with the time zones? I use AEST and unslected Saturday and Sunday by the calendar shows Sunday, Mondayas being unselected.
Hello Gerry!
Kartra’s servers are in Eastern Timezone, you can use the conversion tool to find the time that aligns with what you want in your own timezone.
When your clients visit the calendar, a pop-up will let them set their local timezone, and they will then see your open slots in their timezone.
If you visit the calendar in a separate browser (or in Incognito mode) you can quickly review to ensure the times show up correctly that way as well.
Hey Jill, what’s the trick to making the time zone shift from EST to fresh time zone – I can see on the calendar schedule tab a little button with EST on it that you can edit – but when I select my time zone and save it – the calendar still defaults to EST time when I test it?
Hello James! Great question.
Kartra’s servers are in Eastern Timezone, which means any time you need to configure a time, you’ll need to do it in Eastern in the system.
When you and your customers visit the calendar link in order to book a spot, that’s the time when your local timezone can be selected so the timeslots are shown in your local time.

Thank you for choosing Kartra 🙂
Hi, thanks for this new feature!
Can we synchronize this calendar with our existing calendars, like Google Calendar our Outlook? That would make it super efficient!
Happy Holidays!
Happy Holidays to you as well, Helena!
Integration is coming very soon… stay tuned!
Awesome thanks!
This is great! Does the calendar sync to Google Calendar, Outlook, or iCalendar?
Hello Yentl!
Integration is coming soon – stay tuned!
Hello Jill, can the calendar be linked so that a payment can be made alongside an appointment?
Yet bet it can, Karen!
What you’ll need to do is create a Product under My Products in Kartra, and then you can associate that product once you’ve deemed that particular “class” to be a paid service in the “schedule” step.
It’s right down at the bottom of that step and looks similar to this: https://screencast.com/t/VbCAFZTI0
You’ll still have an opt-in form associated, and then it’ll direct them to a payment form right afterwards.
I hope this helps!
i’m so confused with the time zones can someone pls help? i want my calendar to show Tues, Wed and Thurs 9am til 2pm Adelaide Australia time. What is this for EST time pls? i have to change the days too? thanks, Annie
Hi Annie, I apologize for the confusion, you are correct, you’ll need to edit the day as well as the time when converting 9:00 am – 2:00 pm AST to EST. Looking at this time converter – https://www.worldtimebuddy.com/?qm=1&lid=5,2078025&h=2078025&date=2019-7-18&sln=9-14, the Eastern time would be 7:30 pm (the previous day) – 12:30 am (the current day).
Is there a way to set up a notification for ME when someone books an appointment on my calendar? Just did a test, and the client receives the confirmation email just fine – but I’d like to be emailed too when someone books.
Hi Kyle,
You can definitely do this! You’ll just need to make sure that specific Email Notification is turned on! The name of the notification is called “Calendar subscription confirmation vendor” and by clicking the pencil icon on the notification you can edit who on your team receives it: https://www.screencast.com/t/D0A8N5w2ZA. If you have further question about this our support team is happy to help. Reach out here: https://home.kartra.com/contact
I want my clients that schedule an appointment with me via Kartra Calendar to receive an iCalendar confirmation (ICS file) or equivalent so they can open it and be able to add the scheduled event to their own calendar. Does that feature exist?
Hi Erin! The ability to integrate with iCal isn’t currently available. Our support team would be happy to answer any questions you have about it! Please visit https://home.kartra.com/contact for more information.
Why if i have chosen only a 1 session calendar appointment… the client can click on schedule from the link and schedule more than one session?
Hi Josh, currently there is not a limit to the number of sessions a lead can book using the calendar link. You can set the bookings to manual approval for more control.
Can I embed a kartra calendar on my website in wordpress the same way i can do it with a form?
Hi Josh, currently it is not possible to embed a Kartra calendar to an external site.
Awesome to see we can now embed Kartra calendar function in a 3rd party website!
