Our Dev team is kinda like Santa’s Elves (minus the pointy hats and green outfits) — they’re working around the clock to bring you updates that make running your business a a smooth and seamless experience.
And today’s update is no different: Your email notifications are now organized into three distinct categories — leads, affiliates, and team members — so you can quickly shift between the three without any confusion.
How does this work exactly?
Kartra email notifications are emails that Kartra sends out automatically when something happens, such as a sale, or a refund request. These used to be in one giant list and you had to scroll and individually edit to choose an audience.
Now, Kartra has three separate tabs to make shifting between audiences seamless.
Your leads tab: This tab includes system email notifications that are triggered based on a customer action, such as a confirmation when a subscription is canceled, or when a refund has been issued, or a welcome email for your membership site. These notifications will help you keep customers in the loop without any work from you.
Your affiliates tab: This section is geared towards messages that pertain to your affiliates, such as an automated email that goes out when an affiliate is approved, a notification of payment, or an alert that a sale has been made using their affiliate link. These emails will automatically keep communication lines open between you and your affiliate team.
Your team tab: This final tab is the most renovated of the three because we’ve actually added new notifications in addition to organizing it. This way you and your team can always stay on top of what’s happening. (Your team is defined by people you’ve added to you Kartra account using the “team member” function.)
For example, if you’ve tasked someone in your team with moderating your membership site comments, there is a new email that can go to that specific person alerting them to take action. Or, if you have a sales team designated to follow up with leads, you can set notifications to go out any time a lead fills in an opt-in form.

Is there anything to set up?
The beauty of this (and all new Kartra updates), is it’s built right into your Kartra account.
To get to your email notifications, simply navigate to your profile icon in the upper righthand corner of your Kartra account and click “Email notifications.”
All system notification emails are already written for you (Hallelujah anyone?), but depending on what notifications you want to send out and how much customization you’d like to add, there may be a little bit of setup required.
- Choose one of the following tabs to edit notifications to your leads, affiliates or team.
- If you’d like to further reduce the notifications to search from, choose a category.
- Toggle on or off to activate. Toggle right to activate and left to turn off.
- Click the email name to preview the email, including what email gateway and your reply from.
- Click the pencil to edit your email.

See you next time!
Really excited about this addition. Have been banging on about notifications since I subscribed so really please your development ninjas have finally got around to doing this. Any chance however of being able to include the non standard fields that I create? For instance I have a multi choice field that asks the enquirer to choose one of several descriptions. Would be great to have this included and would stop having my team member having to login every time to check this … Other than that, keep up the great work.
Thanks Richard!
We’re excited about this update as well, and pleased about the upcoming features as well.
Custom dynamic variables are on the list, be sure to vote it up on our Feature Request board, and add your use cases as well!
